Which Documents Are Eligible for Apostille in Hawaii?

In Hawaii, a variety of documents can be issued an apostille for international use. These documents typically include:

  • Legal Documents: This category includes birth certificates, marriage certificates, divorce decrees, adoption papers, and court orders.

  • Educational Documents: Diplomas, transcripts, academic degrees, and other records from educational institutions in Hawaii.

  • Business Documents: Examples include business agreements, articles of incorporation, certificates of good standing, powers of attorney, and intellectual property documents like patents and trademarks.

  • Government-Issued Documents: These are documents issued by state departments or local government agencies, such as permits, licenses, and certificates.

  • Notarized Documents: Any document that has been notarized, including affidavits, contracts, powers of attorney, and sworn statements.

The procedure for securing an apostille in Hawaii can differ based on the specific document type. It is essential to follow the correct procedures as required by Hawaiian regulations. You must also follow procedures for the destination country where the document will be used.

Consulting with a professional service or the relevant authorities in Hawaii can help ensure that the apostille process is completed properly.

Original Document

You will need to make sure of the following:

  • You have an original authentic document or a duplicate issued by the State
  • A valid signature is included on the document
  • The original document was recently issued

The apostille of the original takes anywhere from 4-10 business days.

The Hawaii Secretary of State apostilles public and private documents if the following applies:

  • Documents have been notarized by any commissioned Notary Public of the State of Hawaii
  • Hawaii Birth and Marriage Certificates and Divorce Decrees are acceptable certified copies as long as original pen-in-hand signatures are provided from the State Registrar of the Department of Health, NOT stamp signatures

Please note:

  • As Secretary of State, the Lieutenant Governor, Brian Schatz, provides authentication services of public and general documents used overseas. This includes authentication for the notary public’s signature.
  • Court generated documents are acceptable for apostilles as long as they have been exemplified by the Circuit Court.

Scanned Photocopy of Original Document

You will need to make sure of the following:

  • Appropriate signature is NOT provided
  • Original document is damaged
  • Original document was issued over 10 years ago
  • Destination country allows for the acceptance of apostilles on scanned photocopies of the original document; the majority of countries do accept apostilles on scanned copies
  • You need the apostille within 24 hours

Please note:

  • Both the notary and the apostille must be issued within the same state. This means the scanned digital photocopy of an original document will be notarized and apostilled in New York City.
