What Are the Requirements for Apostilling a Document in Kentucky?

Original Document

You will need to make sure of the following:

 

  • You possess either an original document or a certified duplicate issued by the state
  • The required signature is included
  • The original document was recently issued

 

The apostille of the original takes anywhere from 4-10 business days.

 

The Kentucky Secretary of State apostilles public and private documents if the following applies:

 

  • Vital records such as birth, marriage and death certificates were issued by the Kentucky Department of Vital Statistics and were signed by State Registrar Paul F. Royce.
  • Notarized documents were signed by a Registered Notary in the Commonwealth of Kentucky and signature is certified by the County Clerk in the county where the Notary took the oath of office.
  • If the document is a Divorce Decree, it must be signed by a judge and/or a circuit clerk and the signature must be certified by the County Clerk where the circuit court is located.

 

Please note:

 

  • Signatures by State Registrars Barbara F. White and Gary L. Kupchinsky are NOT acceptable for an apostille.

 

Scanned Photocopy of Original Document

You will need to make sure of the following:

 

  • Appropriate signature is NOT provided
  • Original document is damaged
  • Original document was issued over 10 years ago
  • The destination country will accept apostilles for scanned photocopies of the original document; most of the time, the foreign country will accept an apostille of the scanned photocopy
  • You need the apostille within 24 hours

 

Please note:

 

  • Because the notary and apostille need to originate from the same state, your scanned photocopy will undergo notarization and apostille processing in New York City.
