Terms of Service, Conditions, and Privacy Policy

This website is owned and operated by Apostille International Corp.

Please read these Terms of Service and Conditions carefully before mailing your documents
for processing. By using our services, you agree to these terms. Apostille International
reserves the right to update or amend these terms at any time, with or without notice.

1. About Apostille International

Apostille International provides U.S. document apostille, certification, and
Embassy/Consulate legalization services. We process documents issued from all 50 U.S.
states and the U.S. Federal Government in Washington, D.C.

2. Privacy and Information Security

  • Information Storage: We securely store customer information (e.g., order forms,
    payment authorizations, supporting documentation, copies of documents) for up to
    three months. After that period, records are destroyed by a licensed shredding
    company (e.g., Shred-it).

  • Email Records: Information submitted via email is stored within the same time
    frame.

  • Security Measures: We implement strict safeguards to protect sensitive
    information. Third parties and contractors working with us are held to the same high
    standards. We never sell personal information.

3. Tracking and Communications

 

  • By providing your information, you consent to be contacted by email, phone, or text.
    You may also be subscribed to our monthly newsletter.

  • Our website uses cookies and third-party tracking software (e.g., Google, Whatsapp)
    to improve service, provide relevant content, and enhance advertising.

4. Acceptance of Documents by Other Countries

  • An apostille authenticates the signature and authority of the official who issued your document, not its content.

  • Apostille International cannot guarantee that another country will accept your
    document, even if it carries a valid apostille.

  • Some countries may require that documents be issued within a specific timeframe
    (e.g., no older than three months).

  • Clients are responsible for verifying acceptance requirements with the receiving
    authority before mailing documents.

5. Shipping Policies

5.1 Return Shipping (Domestic & International)

  • Estimated shipping times are not guaranteed.

  • USPS Priority return shipping within the U.S. takes 3-5 business days depending on
    the location.

  • Fedex Overnight return shipping within the U.S. takes 1-2 business days depending
    on the location

  • International shipping via DHL typically costs $100-$200 depending on by country of
    destination.
  • Client is completely responsible if they want us to use regular mail or a prepaid
    label provided by them. We are not to be held responsible if these envelopes get
    delayed or lost.

6. Payment, Chargebacks, and Bounced Checks

  • Chargebacks: If you dispute a charge, Apostille International will provide all
    supporting documentation to the payment processor. Accounts in dispute may be
    referred to legal counsel, collections, or small claims court.

  • Bounced Checks: A penalty of $25 per returned check applies.

7. Document Processing Policies

 

  • Only send documents you wish to process an apostille.

  • Certified originals must be issued by the County, Court, State, or U.S. Federal
    Government. Photocopies will not be processed unless client desires to work with
    true copies of their documents.

8. Fraud Prevention

  • Any attempt to defraud Apostille International will result in:

    o  Voiding of documents at the Secretary of State or U.S. Department of State

    o  Reporting to Embassies/Consulates, FBI, Department of Justice, and local
    law enforcement

    o  Reporting to Embassies/Consulates, FBI, Department of Justice, and local
    law enforcement.

9. Cancellations and Refunds

  • No refunds are issued once we receive your documents. Only Same day
    cancellations will be refunded 100%

  • If you cancel your order after 1 business day we will deduct any administrative fee
    that we have incurred in the beginning of the process.

  • Certain fees (e.g., County Clerk, Secretary of State, Embassy/Consulate fees,
    shipping charges, rejection fees) are non-refundable.

10. Fees and Rejections

  • Clients are responsible for mailing rejected documents back for correction.

11. Lost or Missing Documents

  • Apostille International is not liable for documents lost or damaged outside of our
    physical possession (e.g., at shipping carriers, Embassies, Consulates, or
    government agencies).

  • If documents go missing in transit, clients must allow 21 calendar days for recovery
    efforts before a refund is issued.

12. Translation Services

  • Translations are provided only for documents we process and authenticate.
  • Completed translations are delivered by email or person, upon client’s request. No
    refunds are issued for translation services.

13. Additional Policies

  • Jurisdiction: All legal claims are governed by the laws of New York.

  • Observed Holidays: Our offices are closed on major U.S. holidays, including New
    Year’s Eve/Day, Memorial Day, Independence Day, Labor Day, Thanksgiving (and the
    following Friday), and Christmas Day.

14. Money Back Guarantee:

  • If we are unable to obtain an apostille for your document(s), we will refund you
    100%. We will refund the client after receiving a formal refund request coming from
    the client and with evidence that the apostille was not provided.

  • Delayed documents may be subject to a partial refund depending on how long the
    delay is. Although Apostille International does not have control of State and Federal
    Authorities backlogs.

  • Refund requests must be made within 30 days of placing your order, we won’t honor
    any refund requests after 30 days and there must be evidence that your apostille
    was rejected or delayed for the refund to be granted.

  • As Apostille International is a trustworthy company with many years of experience
    and we are proud to say that our cancellation and refund cases are less than 5% of
    our yearly orders. We also differentiate ourselves from other companies by giving
    our clients outstanding customer service and part of that effort is by making refunds
    available based on our errors and not a client’s errors (such as client’s providing
    wrong documentation, submitting documents not properly notarized, not
    confirming whether their documents are appropriate, or whether they opted for true
    copy apostilles without confirmation). Other companies do penalize client’s for
    such mistakes.
